An AI support agent on a community mental health provider’s WordPress site, live the day it signed up

People looking for therapy often visit a provider’s website late at night, with simple questions they would rather not phone about: what do you offer, do you take my insurance, where are you. A US community mental health provider answered those questions around the clock with an Ethora AI agent, trained on its own pages and set up without writing code.

Overview

A front desk for the website that never closes

Greenleaf Outreach Services is a community mental health provider in Georgia, in the United States, offering culturally responsive care: behavioral health therapy for anxiety, depression, trauma, grief and life transitions, perinatal and family support, case management, parenting classes and life coaching, with many insurance plans accepted.

The challenge. Most first contacts with a therapy practice start on its website, and many happen when nobody can answer the phone. The questions are practical and repetitive (which services, which insurance, which location, how to book), yet a slow or missing answer is often where a person who was ready to ask for help gives up. A small practice cannot staff a live chat around the clock, and it should not need a developer to add one.

The approach. The provider signed up for Ethora, created an AI agent from the support-agent template, pointed it at its own website so it would answer in the practice’s own words, matched the chat widget to the site, and installed the official Ethora Chat Assistant plugin for WordPress. The whole setup was self-serve and the agent was answering visitors on the live site the same day.

Asked on the live site: what the practice offers and whether it takes insurance. The agent answers from the provider’s own service and insurance pages and offers to point to the details.

Requirements

What the provider needed, and how Ethora met it

Everything below is a standard Ethora feature that the provider configured itself in the Ethora dashboard.

Add it to an existing WordPress site without a developer

The Ethora Chat Assistant plugin is installed from the WordPress plugin directory and linked to the provider’s Ethora app. It loads the chat widget on every page, with the agent’s name, avatar and window size set from the dashboard. Sites that are not on WordPress use the same agent through a one-line embeddable script.

Standard Ethora feature Set up by the customer

Answers in the practice’s own words, not generic AI text

The agent’s knowledge was built by crawling the provider’s website (16 pages) plus two public profile pages, 18 sources in all, with no files to prepare. Ethora indexes the pages and the agent answers from them with retrieval (RAG), so a question about insurance gets the plans the practice actually lists and a pointer to its own insurance page. Knowledge can be refreshed or extended with documents at any time.

Standard Ethora feature Set up by the customer

A support agent ready in minutes

The agent started from Ethora’s support-agent template, was renamed “Greenleaf Support Agent” and given the practice’s greeting and avatar. Its instructions and optional scripted flows (for example a fixed path for booking questions) are edited in the dashboard, with a live check that a flow is valid before it is saved. See the no-code AI agent builder.

Standard Ethora feature Set up by the customer

A widget that looks like part of the site

Widget appearance (colours, title, greeting, avatar, launcher) is stored on the app and previewed live in the dashboard, so the provider adjusted it without touching the site’s theme.

Standard Ethora feature Set up by the customer

Every conversation visible to the practice

Visitor conversations are stored in the provider’s Ethora app and listed in the dashboard, so staff can read what people ask, spot gaps in the website content and add the missing answers to the agent’s knowledge.

Standard Ethora feature

Mental health and personal data. This agent is a public website assistant for questions about services, insurance and booking, running on Ethora’s cloud. When a provider wants conversations that carry patient health information (intake, scheduling with clinical detail, follow-up with clients), Ethora runs the same agent and chat on a dedicated or self-hosted server with a BAA, and the agent’s instructions can hand anything clinical or urgent to a person or a crisis line instead of answering it. Ethora is HIPAA and SOC 2 compatible; compliance for each project depends on its configuration and hosting. See HIPAA-compliant chat.

Architecture

A WordPress plugin in front, Ethora’s agent platform behind it

The website only loads the widget. Conversations, the agent, its knowledge and the language model run on Ethora, in Ethora’s cloud here, or on a dedicated or self-hosted server for providers that need it.

The outcome

Answers for people looking for care, at the moment they look

The provider went from a new Ethora account to an AI agent answering real visitors on its website in a single day, without a developer and without writing content for a chatbot: the agent learned from the pages the practice had already written. People who arrive late at night with a question about services, insurance or locations now get an answer in the practice’s own words and a link to the right page, instead of a contact form.

The same setup works for any clinic, practice or care provider with a WordPress site: install the plugin, build the agent with the no-code builder, and move to a dedicated healthcare deployment when conversations need to carry patient data.

FAQ

How long does it take to add an AI agent to a WordPress site with Ethora?

In this project the provider created its account, built the agent, added its website as knowledge and installed the plugin on the same day. A basic setup fits in one working session; most of the time goes into reading the agent’s first answers and adding anything missing to its knowledge.

Do we need a developer?

No. The Ethora Chat Assistant plugin connects WordPress to your Ethora app, and the agent, knowledge and widget look are configured in the dashboard. Other sites use a one-line embed script.

Where does the agent get its answers?

From the knowledge you give it: pages crawled from your website and documents you upload. Ethora retrieves the relevant passages for each question, so answers follow your own content.

Is an AI website agent HIPAA compliant for a mental health practice?

A public website assistant should answer general questions and not collect patient health information. For conversations that do carry PHI, Ethora runs on a dedicated or self-hosted server with a BAA. Ethora is HIPAA and SOC 2 compatible; compliance for each project depends on its configuration and hosting.

Can the agent hand over to a person?

Yes. The agent’s instructions and scripted flows can route clinical, urgent or crisis questions to your phone line, a crisis line or a booking page instead of answering them, and staff can read every conversation in the dashboard.
