Ethora for Private Practice
Your own messaging app for your private practice
Therapists, doctors, midwives, coaches, beauty specialists and consultants run their client conversations on WhatsApp, Telegram or Viber because nothing else fits a one-person practice. Ethora gives you the same thing under your own name: a web and mobile app your clients sign up to, an AI assistant that handles intake and bookings, voice and video calls, and a server in your country that holds your client data and nobody else’s. Free to start, $49 a month for your own server.

Who it is for
One practice, one app, your clients inside it
The page is written for the practitioner, not the IT department. If you run your practice from your phone and a diary, this is for you.
Therapists and psychologists
Private 1:1 threads with each client, optional end-to-end encryption, intake questionnaires before the first session, session booking through the assistant, records you can export.
See the planDoctors, nurses and small clinics
Patient messaging that is HIPAA and SOC 2 compatible, an archive for your records, a server in your country, and a path to a full patient portal when the practice grows.
Patient communicationMidwives, doulas and lactation consultants
Voice messages, photos and video from a client at 3 a.m., a weekly group call link, availability status, and nothing of theirs on a US consumer server.
Compliance factsFitness, nutrition and wellness coaches
A client app under your brand with check-ins, plans as files, group rooms for programmes, and an assistant that answers the same twenty questions for you.
The AI assistantBeauty, spa and cosmetology
Before-and-after photos, aftercare instructions, bookings and reminders in one place, with the client list in your database instead of a messenger you do not control.
A client’s first weekConsultants, tutors and advisors
Clients in several countries, calls without a third-party messenger, documents in the thread, and an online presence under your own name that looks like a larger firm’s.
Web and mobile appWhy not WhatsApp, Telegram or Viber
What a consumer messenger cannot do for a practice
They are free and your clients already have them. They are also somebody else’s product, on somebody else’s servers, with your client list inside.
Your brand and your domain
Clients open an app with your name and logo, at app.yourpractice.com on the Private Practice plan, instead of adding your personal number to their contacts.
Clients sign up to you
A client joins through your link or an account you create, lands in a private thread with you, and never sees other clients. New clients can come in from your website through the assistant.
Data where your regulator wants it
Ethora Cloud is hosted in the US. On the Private Practice plan your server sits in the region you choose, for example Ireland or Germany for a European practice, and holds only your data.
The client database is yours
Export clients and conversations from the admin panel or the API whenever you want. If you move to another tool, the list comes with you. A messenger never gives you that.
An archive for your records
Conversations and files stay searchable and exportable for as long as your profession requires, with an audit trail. Where you prefer secrecy to records, switch a chat to end-to-end encryption instead.
An assistant that does the admin
Opening hours, prices, what to bring, how to prepare, where to park: the assistant answers from your pages and documents, collects intake and books the slot, so you only step in for the conversation that needs you.
A client’s first week
From your link to a booked session without you typing it
This is the week that used to cost you an evening of WhatsApp messages.
They get your link
On your website, in your email signature, on a card at the reception or a QR code. It opens your app, with your name and colours, in a browser or on their phone.
They sign up to your app
Email or Google sign-in, no Ethora account to create. You can also create accounts yourself and hand out credentials, which some practitioners prefer for existing clients.
The assistant takes the intake
A short questionnaire in the chat (history, goals, what they need from you), then an appointment request that lands in your email or calendar. You decide which questions it asks.
You talk
Messages, voice notes, photos, documents, 1:1 or group calls, all in the same thread. Push notifications on both sides. Optional end-to-end encryption for the chats that need it.
Everything stays in one place
The thread, the files and the intake answers are in your admin panel, exportable, on a server that is yours. The next client starts at step one.

Compliance facts
What you can tell your clients, your regulator and your insurer
Plain statements, the way a written due-diligence questionnaire asks for them. Compliance of your deployment depends on its configuration and hosting; here is what the platform gives you to configure.
GDPR
A data processing agreement with us, your server in an EU region if you choose one, deletion of a client account and all its data on request, export of everything on request, and no transfer of your client data outside your server.
HIPAA and SOC 2 compatible
Access control, audit trail, encryption in transit and at rest, retention you set, and a compliance archive by default. Ethora helped a customer pass SOC 2 with the platform in scope; your own certification depends on how you run it.
How HIPAA chat worksOptional end-to-end encryption
Switch end-to-end encrypted 1:1 chats on for your practice, on web and mobile, with attachments sealed on the device. Off by default, because an encrypted chat gives up server-side search, export and recovery, which some practices need for their records.
What E2EE changesHosting in your country
Ethora Cloud runs in the US. Your own server on the Private Practice plan runs in the region you name: Ireland, Germany, the UK, the US, Canada, Australia and others. The database stays there.
Encryption in transit and at rest
Always on, for every chat, call and file, on every plan. End-to-end encryption is the extra layer you add per chat when you want nobody but the two of you to be able to read it, including us.
Leave with your data
Clients, conversations and files export from the admin panel or the API at any time. On your own server the database is already yours. No lock-in, and the SDKs and client apps are open source.
Self-hosting optionsWeb and mobile app
Your clients on their phones, without you building an app
Your practice has a web app the moment you sign up, with your name, logo and colours, at your own domain on the Private Practice plan. Clients can use it in a browser or add it to their phone’s home screen.
For a store app, your clients install the Ethora app for iOS and Android. It opens with the Ethora screen, they enter your workspace address once, and from then on it shows your logo and your practice. Included on every plan, nothing to publish, nothing to maintain.
If you want an app in the stores under your own name and icon, we build it on the same platform as a project. Most practices start with the Ethora app and decide later.
- Web app on day one, your domain on the paid plan
- Ethora app for iOS and Android, your logo after sign-in
- Push notifications, voice messages, calls
- Fully branded store app available as a project
The AI assistant
An assistant that knows your practice and books your clients
The assistant reads your website and the documents you give it (prices, preparation notes, policies, FAQs) and answers clients on your site and inside your app, in 30+ languages. When it does not know, it says so and hands the question to you.
Flows turn the first contact into structured work: an intake questionnaire, an appointment request that lands in your email or CRM, a follow-up survey after the session. You write the questions; the assistant asks them. New clients from your website arrive already onboarded.
It is the same AI and agent technology we build for larger platforms, applied to a one-person practice. A solo practitioner with an assistant, bookings and a branded app is ahead of most clinics in the same town.
- Answers from your pages and documents
- Intake and booking flows you design
- Leads and transcripts to your email or CRM by webhook
- Hands off to you for anything that needs a person

Private practice FAQ
The questions practitioners asked us before they moved their clients off WhatsApp.
Is WhatsApp or Telegram GDPR compliant for a practice in the EU?
You can use them, but you remain the data controller without a processor agreement, without control over transfers outside the EU, and without a way to delete a client’s data on request. On your own Ethora server in Ireland or Germany you hold the data, you sign a data processing agreement with us, and you delete a client account and everything in it when asked.
How much does it cost for one practitioner and 30 clients?
Nothing on Ethora Cloud, up to 1,000 monthly users. The Private Practice plan is $49 a month ($42 on annual billing) and adds the AI assistant, your own light server in the region you choose and your own domain. A practice that grows into a clinic moves to Small Business at $149.
Do my clients need to install anything?
No. They can use your web app in a browser or add it to their phone’s home screen. If they prefer a store app, the Ethora app for iOS and Android signs in to your workspace and shows your logo from then on.
Can the app carry my name and logo?
Yes. Your workspace carries your name, logo and colours from day one, and on the Private Practice plan it runs at your own domain, for example app.yourpractice.com. The Ethora store app shows your branding once a client has signed in to your workspace. A fully branded app with its own store listing is available as a project.
Is it end-to-end encrypted?
Encryption in transit and at rest is always on. End-to-end encrypted 1:1 chats, with attachments sealed on the device, can be switched on for your practice and work on web and mobile. They are off by default because an encrypted chat gives up server-side search, export and recovery, which some practices need for their records. You choose per practice.
Where is the data hosted?
Ethora Cloud is hosted in the US. On the Private Practice plan your own server runs in the region you name, for example Ireland or Germany for a European practice, and the client database is yours to export or delete.
Can the assistant book appointments and collect intake?
Yes. It answers questions from your pages and documents, runs an intake questionnaire or an appointment request flow that you design, and sends the result to your email, calendar or CRM by webhook. It hands anything else to you.
Do you support voice and video calls and voice messages?
Yes. 1:1 and group voice and video calls run inside the app, and clients can leave voice messages in the thread. Push notifications on both sides.
Can I leave and take my data with me?
Yes. Export clients, conversations and files from the admin panel or the API at any time. On your own server the database is already yours, and the client apps and SDKs are open source.
